Data we process

Only what is needed for an order:

  • first and last name;
  • email address and, if you wish, phone number;
  • delivery address (street, postcode, city, country);
  • company and VAT number, if you provide them — optional fields;
  • order contents, amount and payment reference.

What we never receive

Your payment details — card number, code, Bancontact credentials — are entered directly on the payment provider’s pages. They do not pass through this site and are never disclosed to us.

Purposes and legal bases

We do not use your data for profiling or advertising, and we neither sell nor rent it to anyone. No newsletter is sent without your separate consent.

  • processing, delivering and tracking your order — performance of the contract;
  • issuing and keeping accounting and tax records — legal obligation;
  • answering your questions, complaints or withdrawal requests — performance of the contract;
  • keeping the site secure and preventing fraud — legitimate interest.

Who receives your data

Service providers, only for what their task requires:

  • Mollie B.V. (Netherlands) — payment processing;
  • Odoo — order, customer and invoicing management;
  • Vercel Inc., 440 N Barranca Avenue #4133, Covina, CA 91723, United States — website hosting;
  • a professional carrier — parcel delivery;
  • our accountant and, where applicable, the tax authorities — legal obligations.

Typefaces and external resources

The pages of this site load typefaces from Google’s servers (fonts.googleapis.com and fonts.gstatic.com). This transmits your IP address and technical information about your browser to Google. No other external resource is called: no ad network, no social network, no analytics tool.

Local storage and cookies

This site sets no advertising or analytics cookies. There is therefore no consent banner to display.

Only two items are kept in your browser’s local storage, because the site cannot work without them: the contents of your cart (“rokas-cart”) and your chosen language (“rokas-lang”). They stay on your device, are not transmitted to us, and you can erase them at any time by clearing site data in your browser.

Retention periods

Order data and supporting documents are kept for 7 years after the end of the accounting year concerned, as required by Belgian accounting law. Email exchanges with no commercial follow-up are deleted no later than 2 years after the last contact.

Transfers outside the European Union

Hosting and font loading involve providers established in the United States. These transfers are covered by the mechanisms provided for by the GDPR — standard contractual clauses or the EU–US Data Privacy Framework.

Security

The site is served over HTTPS. The access keys to the management system and to the payment provider are held server-side and are never exposed to the browser. Access to order data is limited to those who need it.

Your rights

At any time and free of charge, you have the right:

  • to access your data and obtain a copy of it;
  • to have it corrected if it is inaccurate;
  • to request its erasure, in so far as no legal retention obligation prevents it;
  • to request restriction of processing or to object to it;
  • to receive your data in a structured format (portability);
  • to withdraw your consent where processing is based on it.

Exercising your rights or lodging a complaint

Write to us at pierre@lavitrinelocale.be. We reply within one month. Proof of identity may be requested to avoid disclosing your data to a third party.
